Voalte Insight v1.2 Release Notes

Executive Summary

Voalte Insight is a business intelligence/analytics tool that gives hospital administrators the ability to easily monitor, analyze and optimize clinical communications throughout their organizations. The tool provides users a selection of pre-built reports, as well as the ability to quickly build, customize and share their own views of their data. The Insight 1.2 release is generally available on March 12, 2021. 

Voalte Insight is continuously improving between major releases. These release notes are an accumulation of features and fixed defects that have been deployed between VI 1.0 Oct 2018 and VI 1.2 March 2021. When a defect impacts data quality it is usually resolved and an update is deployed soon after discovering.

Features

Voalte Insight Solution 1.2 new features include a folder for data sources and two new workbooks: Text Audit and Voalte Usage Overview. These workbooks feature fast load times, simplified visualizations, and provide access to up to three years of data.

New features – Text Audit workbook.

The Text Audit workbook was previously a view in the Text Insights workbook. The new Text Audit workbook provides significantly faster load times, simplified data display, and access to the full retention of data up to three years.

You can search for individual text message records using the following parameters: • Username(s)

  • Display Name

  • Search Date

  • Buffer Date

    Username(s) has two fields. You can now search for one user or two. When you search for two users, your search results will only include conversations between the two users and group conversations that included both users.

For optimal efficiency, the best practice is to keep your search results below 500 messages. If your search results exceed 500 messages, the numbers in Results will turn red to indicate that your search results may take longer to load. Requested data from 8 months or more prior to the current date may also take longer to load. When this happens, Voalte Insight displays a warning message prior to the user clicking Search.

When you click Search, you are taken to a new window where you can view the details of each conversation. Conversations are now easier to view and export; conversations are consolidated to one row per sent group message and all users in the conversation are in one list within the row.

You can use the Filter Bar to further narrow down your results for a specific subject or time frame, down to the second. In addition to more advanced search options, Text Audit reduces the export process to a single button. From the Filter Bar, select Export to Excel. The exported spreadsheet is formatted for you, and contains separate tabs organized by conversations and messages. Recipients are consolidated to one row in the export just as they display in Text Audit.

Voalte Usage Overview workbook.

Voalte Usage Overview displays a broad view of Voalte usage across the hospital, and can provide access to up to three years of data. The workbook is adapted from Voalte Platform Overview, but has faster load times and uses a simplified interface. It contains the metrics which are most frequently requested by Health Systems.

In previous releases, users had to use multiple workbooks to acquire data for basic metrics. However, the following metrics are now available in a single view:

  • Active Users

  • Text-to-Call Ratio

  • Total Alerts

  • Total Calls

  • Total Texts
    Multiple improvements have been made to improve user experience:

  • Time zones are automatically updated for the user when they open the workbook.

  • In the lower right corner, Voalte Insight displays the date on which data was last updated.

  • The hospital logo is displayed above the hospital name.

  • Users may hover over the information icon for a definition of the associated term. The workbook also contains a definitions tab for user reference, which is included in exports.

Users may filter teams and units separately in the Voalte Usage Overview workbook. You can use the following filters to refine your search:

  • Date Aggregation

  • Date Range

  • Team Name

  • Unit Group

  • Unit Name

A new metric, Text-to-Call Ratio, is included in the Voalte Usage Overview view and displays
the number of texts users made in comparison with the number of calls users made. Based on data gathered across multiple sites, Voalte Insight assigns a rating between one to three stars to this metric to benchmark communication efficiency for the selected groups in the defined time period. Ratings are assigned based on the performance of existing Voate customers.

A new filter, Unit Group filter, is included in the workbook. If a user has multiple hospital locations on one server, they may add a prefix or term to a unit to designate that the unit belongs to
a specific hospital. Previously, users would select each unit in a group manually or create a custom view. Users can now select a unit group from the Unit Group filter and Voalte Insight will automatically select every unit with the associated prefix or term.

Users can also work with Voalte to configure other unit groupings. Please reach out to Voalte support if you would like to create additional unit groups.

Set the export_hours configuration value to be the difference between the database default time zone and UTC then add the desired number of hours.
